Minutes – September 4, 2007,  6:45pm,  Room 9

Roof Repair Bidding

Documents for the repair and shingling of the roof have been prepared, issued, and the pre-bid conference was held.  One addendum has been issued to extend the bid date to September 11, 2007.   We expect at least 4 bidders as that was the number attending the conference.  Only manufacturer approved installers will be allowed to install the shingle portion of the project.  The flat roof contractors will be the prime contract holders with the shingle contractors being a sub-contractor to the prime.  Some bidders are able to do both.

The stained glass window leaks were discussed.  Randy reported that there was no rotten wood at the frames and sills.  He also indicated that any window work could be done after the roof repairs. These repairs should be done by a glass installer.   The committee felt it would be better to have all the window repairs done prior to the roofing as we did not want excessive traffic on a new roof.  Jerry Hahn is to call City Glass and have them recommend what if anything should be done to the windows.

Once the roof repair bids are taken and KHA recommends a successful bidder, the bid results and the budget numbers will be confidentially distributed to the Committee.   Any Committee comments on these bids should be returned later than Friday, September 14.   Assuming that the bids are within budget, we would like to award a contract by Friday, September 14.  It is BIC understands that Session has granted BIC the power to authorize and begin work with the successful contractor.

Floor Plan Revisions resulting from the Staff Meeting

A Staff Meeting was held to review the plans and make any corrections to the layouts.  It was a good review with positive results.  The changes were incorporated and discussed with the Committee.  Approval of the refinements was given as these changes captured the room by room concepts.  Additional details such as cabinetry, changing tables, etc. will be added at the next phase of design.

A “family toilet” was discussed to be incorporated at the Child Care area.  The purpose of this single, larger, handicapped equipped room is to allow a care giver to assist an impaired person.  It would have a sink and a water closet (toilet).

The plan was felt to be correct enough to begin work with the mechanical and electrical engineers.

A revised floor plan will be shown at the next meeting.

Major Donor Packages and Process Recommendations

It is our understanding that no new major donor meetings have been scheduled or completed.

Jerry Hahn was directed to estimate the costs of the work and elements that have been delayed for budgetary reasons and to assemble them into logical “donor packages”.  These packages should range in size from $250,000 to $10,000.  Of course, some of these packages could be sub-divided if a donor only wanted to contribute a set amount.  An example would be furniture.  If the total donor furniture package is $60,000, a donor may choose to do only certain rooms for $20,000.  These packages can be used by the Major Gifts Committee to approach members for specific gifts.

Communications to the Congregation

We felt that the design has sufficiently advanced to the point where an after church congregational information meeting should be held.   This should occur in early to mid October.
