Minutes – Tuesday, July 17, 2007

 

Attendees:  Amy Boesen, acting moderator; Jim Chapin, June Fettig, Doug Hartman, Mac McCartney,

Curt Field, Ken Hahn, Jerry Hahn, Mary Ann Pederson, recorder.

 

Amy opened the meeting at 6:50 pm with prayer.

 

Sympathy was offered to June Fettig whose mother, Mary Hancock, had died last evening, July 16.  Her service likely will be held on Sat., July 27 at 11 am.

 

Fundraising updates

It was announced that Henry Arms has everything ready to apply for the 0% loan from First Presbyterian Church’s Davis fund,  but that Church of the Master also intends to apply for some of that fund, so we should not expect to receive the whole $190,000. 

 

June provided updates to the fundraising totals:

Cash flow

There was discussion on how to manage expenditures over the duration of the building contracts, which are projected to finish by April, 2009, when the pledges are for three years, ending in 2010.

Jeannie Weisner, moderator of Finance Committee, has been asked to explore and report on interim financing options.  Jerry Hahn handed out a Preliminary Cash Flow Projection chart listing possible expenditures from July, 2007 through April 2009.   He also had prepared a graphic timetable of the entire project.

 

Roofing project

A roofing consultant will inspect the existing roof in the coming week and Ken Hahn will prepare bidding documents the following week.  BIC members may see examples of installed roofs as listed on 2 pages emailed by Hahns; Jim Chapin recommends especially the First National Bank branch at 90 & Maple streets has an installation similar to our project.  We will see a selection of color choices at our August 7 meeting.  Dana Sloan says that to prevent costly damage, the organ must be covered before any work can begin on the roof.  Such a specification will be included in any roofing contract. 

 

Hahns’ updates

Maintenance of air handling systems is actually not to be considered a maintenance project, because new units are included in the North Project budget. The old boilers, etc. are very inefficient and nearly finished operating. Ken has consultation opinions that recommend 2 or more gas furnaces, not “air handlers”, but will use existing ductwork in existing spaces.

 

The surveyor and geotechnical consulting reports will be forthcoming.

 

The scope of the North Project must be decided based on the new financial limits.  His contract proposal will be adjusted accordingly.  The sequence of approvals is problematic.

 

Ken handed out revisions to North Project floor plans based on suggestions to locate the secure childcare area in the new addition and expand the offices from their current location.  This would allow for restrooms nearer the narthex.  Then it was revealed that the leaders of Christian Education had met and determined that childcare could be managed in 2 rooms instead of 4.  Ken said that made revisions much easier, and he would work on them further. 

 

Mac had prepared a suggested floor plan, which he also handed out.

 

Next steps

Curt will contact Kirk to call a special meeting of Session for Sunday, August 5 which Finance Committee will be asked to attend also. Agenda items will include:

·        Approval of contract for services of Kenneth Hahn Architects

·        Report on interim financing options

·        Approval to borrow from ourselves the invested proceeds of sales of church land and manse

·        Approval to proceed with bid letting on roof project
